Xplor Home App - Casual Bookings and Absences

Did you know you can book casual days and mark your child as absent at Woodlands? 

Casual Bookings

Whether it’s a once-off emergency, a last-minute meeting, or a change of plans – you can make an instant booking at Woodlands Long Day Care & Kindergarten at short notice. Please note, casual bookings will depend on availability at the Woodlands Campus.

Instructions to make casual bookings using the Xplor Home App

1. Open the Xplor Home App and select the Bookings Tab. Select the Date you wish to book the casual booking, then select the +New (Top Right).

Select the classroom or time

2. Option 1: Select Booking, then select the Classroom if available (The room displayed will depend on your child's age),

or

Option 2: Select Request A Space and select Any Time/All Day > Save

Confirm booking and review confirmation

3. Select the Pram Icon (Top Right), Review booking details, then select Request, the following page will display either a Confirmation or Pending Request

Booking Confirmed = Casual Booking Accepted as there is availability

Requested = Casual Booking is pending and needs to be manually assessed (An SMS will be sent once the booking has been approved/updated)

Please Note

  • Bookings are charged regardless of whether the child attends the booking or not
  • Swap of bookings is not permitted 
  • You can only add bookings but not delete or remove
  • Casual days are the same price as a normal day

Holidays

  • Families need to email the service a minimum of 2 weeks in advance to notify Woodlands requesting the Holiday discount
  • Families may apply for a Discounted Holiday fee for up to 4 weeks per year
  • Discounted Holiday Fees are charged at 50% of the current daily fee
  • Discounted Holiday fees can only be applied to full weeks of care (not individual days)
  • Discounted Holiday Fees are unable to be applied in arrears, due to CCS reporting

 

 

How to notify Woodlands of being Late or Absent

Absent Notification 

Woodland recommends families notify their child will be away/absent via the Xplor Home App, this will allow the spot to open up to another family that may require a casual day. 

The sign-in dashboard will display any bookings for your children for the day at Woodlands. From here, you can notify the service of late drop-offs or absences to bookings. If the booking is not appearing, pull down the top of the screen to refresh the page.

2. The details of the bookings will become available. This screen has two buttons, 'Late' or 'Absent'
