The Woodlands process of enquiry has a strict and meticulous process to ensure all our Family Woodland Enquires are provided with the best customer experience from people that are helpful, humble and provide the correct information depending on the stage of the Parents Woodlands Enquiry.

Our Woodlands Enquiry Form is online and the Woodlands Enquire process is free from using any "Paper" Woodlands incorporates the use of automation, Hubspot CRM, SMS, and Emails, and most importantly place remarkable people in position, and people with potential that have the ability to connect and engage with potential families in an informative, helpful, and humble manner to convert from an Enquiry to a Confirmed Enrolment. 

With pre-built templates and automation to work smarter. These tools and processes allow our Woodlands Campus Leadership Team to have more time to engage with families, children, and staff and ensure that we are providing a great Educational Experience to all children and families at Woodlands Long Day Care & Kindergarten.

More importantly, this means we can enrol families quicker with a streamlined process and provide them instant responses when enquiring with any Woodlands Loing Day Care & Kindergarten Campus.

  • Provide an outstanding experience and communication with all families that are clear, simple, and to the point 
  • Engage with all families in an informative, helpful, and humble manner to convert from an Enquiry to a Confirmed Enrolment
  • Providing options rather than dead-end options or communications, Woodlands every day is supporting and problem-solving for ourselves, families, children, and staff. Woodlands Enquiry Form Summary

  • It is an online form only - "NO PAPER"
  • Once the Parent has completed the Woodlands Enquiry Form, the parent and child information will appear on Hubspot, under the pipeline "Woodland Enquires" 
  • A Slack notification will appear under the slack channel (#Campusname-enrolments) or example of Woodlands Truganina Channel - (#trug-enrolments)
  • The Woodlands Enquiry Form is set up for families to complete and bring them to a bookings page

Please Note: All parents wanting to Book a Woodlands Campus Parent Tour MUST complete the Woodlands Enquiry Form before coming and proceeding with a Parent Tour. The only way to book A Woodlands Campus Parent Tour is via this form, once the parent completes and submits the Woodlands Enquiry Form they will

  1. Be taken to a booking page which will allow the parent to choose a day and time to book a Woodlands Parent Campus Tour
  2. Be sent the Woodlands Campus Tour link via SMS which will allow the parent to choose a day and time to book a Woodlands Parent Campus Tour

Please Note:

  • Woodlands does not accept written notes as appointments, verbal confirmations, written in a diary (Woodlands doesn't have a diary), or enquiry forms not being completed or missed. Disciplinary action may occur if the set-out process is not followed or ignored.

First Step: Family Enquire (First TouchPoint/Contact With Woodlands)

Families can connect with us in different ways to enquire about enrolling at Woodlands Long Day Care & Kindergarten, this includes 

  1. Parent Calling the Woodlands Campus Phone Line (Actions Required) 
  2. Parent Emailing the Woodlands Campus Email Address (Actions Required) 
  3. Parent Drove Past/Walking Into the Woodlands Campus (Actions Required) 
  4. Parent SMS via our Woodlands Website (www.woodlandelc.com) (Actions Required) 
  5. Parent Visiting our Website (www.woodlandelc.com) (No Action Required) 

Depending on the communication method above listed, will depend on how we respond to the new potential family and how they can enrol at Woodlands Long Day Care & Kindergarten. Below is a guide on how families enquiry with us and Book a Woodlands Campus Tour, some actions are automatised and are important to know, others are in which you may need to act as they are not automated. 

 

Method Of Communications and Action Required by Woodlands Leadership Team

1) Method Of Communication - Parent Calling The Woodlands Campus Phone Line

  • Parents will call through to the Woodlands Campus Line as they might have a set of questions and after they have asked these questions and we have responded we invite them in for a Woodlands Campus Parent Tour. At times parents will direct the day they're interested in coming in for a Woodlands Campus Parent Tour and need guidance on how to proceed to Book.
  • Remember the Objective: We want all Parents to complete the enquiry form and to push the parents to complete a Woodlands Campus Parent Tour. We grab their attention now so we don't lose them forever. 

Action Required Immediately By Woodlands Leadership Team 

  • Obtain the parent's mobile number over the phone
  • Obtain their first name over the phone
  • Login to Message Media (Woodlands SMS Software)
  • Select from SMS Templates: (Woodlands Campus Tour) 
  • Input Parents Name and Mobile > Then Send

Please Note:

  • This action is to be completed immediately
  • The SMS will allow the parent to complete the enquiry form and book a day and time to come for a Woodlands Parent Campus Tour

 

2) Method Of Communication - Parent Emailing the Woodlands Campus Email Address

  • Parents will sometimes revert to email and have a set of questions, or wants to know how to book a Woodlands Campus Parent Tour or even ask sets of questions as well as how to book. Either way, we can communicate our response and also provide the steps to booking a tour, even in the event that they didn't ask. 
  • Remember the Objective: We want all Parents to complete the enquiry form and to push the parents to complete a Woodlands Campus Parent Tour. We grab their attention now so we don't lose them forever.

  • Respond to any questions or comments and ensure the information is clear, and also include links.   • If the parent has included a mobile number in the email, send an SMS as well as an email, this means it can't be missed and the more likely to be seen by the parent

3) Method Of Communication - Parent Walking Into the Woodlands Campus

  • Parents will sometimes drop by the Woodlands Campus as they were walking or driving past, That's ok, we welcome walk-ins and we must accommodate them, this doe requires quick thinking especially if appointments are currently being run. Another person on The Woodlands Campus Leadership Team will need to conduct the Woodlands Campus Parent Tour

  • Guide them over to the iPad located at the front desk reception, go to our website: (www.woodlandelc.com) > Top Right Select Book Campus Tour > Complete the Woodlands Enquire Form > No need Book Campus Tour as it will take place in-person after submitting the Woodlands Enquiry Form

Second Step: Leading Up To The Woodlands Campus Parent Tour

1) Hubspot Stage Enquiry Received / Booked Campus Tour 
Once a parent has completed the Woodlands Enquiry Form, the information is then transmitted to Hubspot > Pipeline: Woodlands Enquires. Here you can manage all the Woodlands Campus enquires and have an overview of where all the families are up to in stage levels.  

When the Woodlands enquiries information is transmitted into Hubspot, these are called "Deals"

Action Required By Woodlands Leadership Team 

  • It's best to get an understanding of all Woodland Campus Enquiries by clicking into the Campus Enquiries to allow you to analyze and develop an understanding of the child's name, child age, enrolment days required, parents' name and any comments listed on the enquiry which may be related to what the family is looking for to the days they require, it can broad in relation to family comments, most importantly this allows you to assess if you have the required Enrolment Days for the family at Woodlands Campus and have a starting point of communication when the family arrive for a Woodlands Campus Parent Tour or when you need to engage with the family 
  • Certain families may complete the Woodlands Enquiry Form but have not actually booked a Woodlands Campus Parent Tour. The Objective when this happens is to engage and connect with the family via phone preferably, or Email, or SMS. Answer any questions and ensure you are not too serious, adapt yourself to the conversation so it's enjoyable, understanding, helpful, and humble

The focus stage is the (ENQUIRY RECEIVED and BOOKED CAMPUS TOUR)

Enquiry Received: This means the family has completed the Woodlands Enquiry Form 

Objective: We want the family to Book a Woodlands Campus Parent Tour  if they haven't already

Once this has been accomplished, meaning the Family has booked the Woodlands Campus Parent Tour, the following will happen

  • An email notification will be sent to the Woodlands Campus email address to confirm the appointment has been made
  • Appointment details will appear in the Woodlands Campus Googler Canalader and Calendy Upcoming appointments section

  • Ensure the correct family Deal Card in Hubspot has moved into the correct Deal Stage which is BOOKED CAMPUS TOUR

2) Understanding the Deals Stages in Hubspot

The Cards in HubSpot will move automatically and in some certain stages requires you to move them to ensure the stage that the family is up to is correct. This section will provide information about the different stages and what you need to do to ensure the Deal board stays up to date.

3) The Hubspot Deal/Stage Card (Woodlands Enquires Pipeline) 

The Hubspot overview will allow you to see all enquiries as cards including the Deal Stage they are up to. The Deal cards will hold the following information:

  • Parent Name and Campus Enquiry Name
  • Childs Full Name
  • Last Contacted Date
  • Circle Symbol Which represents the Contact Associated To The Deal/Enquiry
  • Displays Any Notes or Actions
  • Upcoming Meetings

4) The Hubspot Deal/Stage Page (Woodlands Enquires Pipeline) 

When you click the Parent's Name/Deal Card it will open the Deal on another page where you can view all the activities including emails, booking confirmations, notes, and communications. This is where will also log attempted and connected phone calls with families and most importantly send emails which may be the enrolment information or follow up emails.
