Woodlands - Termination of Enrolment Policy
About This Policy
This policy outlines Woodlands' approach to managing child enrolments, including the process for termination if service policies are breached. It ensures families receive a comprehensive induction and explains the circumstances under which a child's enrolment may be canceled, such as persistent behaviour issues, non-payment of fees, or safety concerns. Families must provide four weeks' notice if withdrawing a child, and any breach of service policies may lead to enrolment termination. The policy also covers the withdrawal process and the impact on Centrelink benefits if the child doesn't attend during the notice period. Additionally, it includes provisions for employees with children at the service.

2.2.2 Incident and emergency management - Plans to effectively manage incidents and emergencies are developed in consultation with relevant authorities, practised and implemented.
2.2.3 Child Protection - Management, educators and staff are aware of their roles and responsibilities to identify and respond to every child at risk of abuse or neglect.

Implementation
Our management team and staff are determined to develop a respectful two-way partnership between the each individual family and the service. However, management recognises that there may be some circumstances where the appropriate course of action is the cancellation of a child’s enrolment.
Behaviour Management
There are times when children’s behaviour requires guidance and working on, in collaboration with the service’s policies and procedures. Every effort will be made to deal with the behaviour using positive guidance, appropriate documents followed that Woodlands have in place and working closely with families to implement a plan in order to help rectify any unacceptable behaviour.
On some occasions it may be necessary to terminate a child’s enrolment if their safety, or the safety and wellbeing of other children and staff at Woodlands is or is likely to be compromised. This will only be considered after every reasonable effort has been made, in consultation with families, to implement practices which meet the child’s needs and support their learning.
Termination
If terminating a child’s enrolment, our management team will advise the family in writing that their child’s enrolment will be terminated, the reason for the termination including actions taken to assist the child and family, how much money the family owe the service, and the effective date of termination. This date will be a maximum of four weeks from the date of the letter unless the safety and wellbeing of children or staff is at risk. In this case the four week notice period may be waived.
In the event that a family has another child/ren the other child/ren is able to continue their enrolment as per normal arrangements at Woodlands.
Service Policies
Woodlands has a range of policies and procedures to ensure the safety, welfare and wellbeing of children, staff, families and visitors of the service. We reserve the right to terminate a children’s enrolment if at any time a service policy has been breached.
This may include:
- Failure to comply with the enrolment contract.
- Disparaging or hurtful behaviour of a child that continues even with parent collaboration in stopping the behaviour.
- Non-payment of childcare or late fees and/or recurring late payment of fees.
- Continuing to pick up the child past the required licensed time.
- Inability to meet the child's needs without additional staff.
- Deliberate impertinence towards the approved provider or staff.
- If a parent knowingly brings their child ill to the Service.
- Consistent child-rearing style differences between the parent and the provider.
- False information was given by a parent either verbally or in writing.
- Bullying and/or harassing Educators, children or families enrolled at the Service.
Employees with children at the Service
Employees are welcome to enrol their child at the Service, however, if an employee is terminated from their position, the Service reserves the right to terminate the child’s position due to conflict of interest.
Withdrawing a Child from the Service
All families are required to give four weeks written notice via email to cease their child’s enrolment. Once the notice has been sent a family will receive an email reply with 'End Woodlands Enrolment Information & Tasks' that will need to be completed by the family to end an enrolment.
Children are required to attend the notice period, or they will forfeit their Centrelink incentives and will be required to pay the full fee.
Withdrawal from Care: (Prior to the agreed commencement date)
If a family has accepted the offer of a placement, then decides to withdraw from care before the agreed commencement date, the written notice period applies.
