About This Policy

To enable our service to have a smooth end of enrolment process in order to fill vacancies and maintain utilisation our families are required to provide notice when withdrawing their child/ren from the service.

Purpose 

We aim to ensure that our families have a clear understanding of the service requirements when withdrawing their child/ren.

Scope

This policy applies to families and management of the service.

Implementation 

During the enrolment and orientation process families are to be made aware of the service requirements should they wish to withdraw their child/ren from the service. 

 

Withdrawing Enrolment:

  • All families are required to provide management with 4 weeks written notice when withdrawing their child/ren from the service. 
  • The email MUST include the date of the child/ren's last day of attendance.
  • Withdrawal notices will only be accepted by email.
  • Once a withdrawal email is received, all families will be replied to with our 'end of enrolment' tasks. This information will include the child/ren's final booking date and the current balance outstanding. 
  • All fees will be charged up to the end of the two weeks from the date at which notice was received in writing, regardless or whether or not the child has attended the service during the notice period. 
  • All families must ensure the account is paid prior to final attendance.
  • If payment has not been received, Woodlands will initiate our debt recovery process.
  • CCS will not be paid if the child/ren's last day is an absence day. If the child/ren do not attend during their 4 weeks of notice, CCS will not be paid after their last day of attendance and full fees will be applicable.
  • If at any stage of the enrolment it is felt that it is necessary to discuss the viability of the enrolment due to a concern of the duty of care to the child/ren or other children in our care, the service will immediately contact the parent/authorised person/s to discuss all options. This may include the withdrawal of the enrolment.

 

Continuing Enrolment - i.e. New Year 

  • All child/ren enrolments are ongoing until emailed notice to withdraw an enrolment has been received. This is regardless of a child/ren's age or the room they are enrolled in. 
  • Prior to the end of each year, families should notify the service by email providing at least 4 weeks notice if there will be a change to their child/ren's permanent bookings in the new year OR if their child is going to be transitioning to school.  
  • Families who will still require care in the new year until the school year starts will need to advise management by email in order to assist with upcoming room transitions for the new year. These accomodations will be subject to availability.
